Keeping good service records for assistive technology
What to record when you service hoists, beds and mobility equipment, and how to share it with care providers without the paperwork.

Hoists, electric beds and mobility equipment are things people rely on every day. When you service them, the record you leave behind matters almost as much as the work: it tells the next technician what was done, and it gives the care provider confidence that the equipment is safe.
This is general guidance. Follow the manufacturer's instructions and any requirements from the care provider or funding body for each item.
What a good service record includes
For every item, every visit:
- What the item is: type, make, model and serial number, plus your asset code.
- Where it lives: the client, the site and the room.
- What you did: inspection, service, battery check, load test, repairs and parts used.
- The outcome: passed, failed, or needs follow-up, in plain words.
- When it's next due, so nothing slips.
- Who did the work and when.
Photos help too, especially of wear, damage or a rating plate.
Make it easy to read for the care provider
Care providers don't need your technical shorthand. They need to know three things: is it safe, what needs attention, and when you're coming back. A short report in plain English, with the item-by-item results underneath, does the job.
