Terms of use

These terms apply when you use the Koalaris website, the Koalaris app, the field app and the client portal (the “service”). The service is provided by Mohammed Ahmed, trading as Koalaris (“we”, “us”). By creating an account or using the service, you agree to these terms. If you sign up for a business, you confirm you are authorised to agree for it.

1. The service

Koalaris is software that helps test and tag and equipment servicing businesses keep equipment registers, record tests and services, produce certificates, reports and invoices, and share records with their clients. We may improve, change or remove features over time. If we remove something important you pay for, we will tell you first.

2. Your responsibilities for your work

Koalaris is a record-keeping tool. It does not test equipment and does not make your work compliant. You are responsible for the testing and servicing you carry out, for holding the qualifications and licences your work needs, for the results you record, for the re-test intervals you set, and for meeting AS/NZS 3760 and any other standards and laws that apply to you. Always check certificates, reports and due dates before you rely on them or give them to a client.

3. Accounts

  • Give accurate details and keep them up to date.
  • Keep logins secure. Each team member must use their own login. Tell us straight away if you think an account has been misused.
  • You are responsible for what happens under your business’s account, including what your team and clients do.
  • Client logins are free and read-only. You decide who gets one, and you can remove access at any time.

4. Free trial

New businesses get a 14-day free trial of the Pro plan. No card is needed. When the trial ends, your account becomes read-only until you choose a plan. You can still view and export your records. We may limit how much AI you can use during a trial, and we may end or change trials for future sign-ups.

5. Plans, billing and GST

  • Plans are billed monthly in advance, in Australian dollars, at the price shown on our pricing page when you subscribe.
  • Prices include GST where GST applies.
  • Payments are processed by Stripe. Your plan renews each month until you cancel.
  • We may change prices for future billing periods. We will give you at least 30 days’ notice by email first.
  • If a payment fails and isn’t fixed within 14 days, we may make your account read-only until it is.

6. Cancelling and refunds

You can cancel at any time by emailing hello@koalaris.com or through your account. Your plan stays active until the end of the period you have paid for, then the account becomes read-only. We don’t refund part-months, except where the Australian Consumer Law requires a refund or where we have failed to provide the service.

7. Your data

  • Your business owns the data it puts into Koalaris. You give us permission to store and process it only to provide and support the service.
  • You can export your data at any time.
  • You must have the right to enter the information you add, including your clients’ and their staff’s details, and you must handle it lawfully.
  • If your account closes, you have 30 days to export your data. After that we may permanently delete it, except records we must keep by law.

8. Lyra AI

Lyra AI suggests, prefills and drafts: it reads rating plates, matches spreadsheet columns, drafts reports and answers questions about your account. AI can make mistakes. You must check its output before you rely on it or send it to a client. Lyra AI never sets a test result, and test results always come from what a person recorded.

9. Payments from your clients and Xero

If you take card payments on your invoices, the money goes to your own Stripe account. You must accept Stripe’s terms, and you are responsible for your pricing, refunds, disputes and tax. If you connect Xero, Xero’s terms apply to your Xero account. We are not responsible for these third-party services.

10. Offline use and availability

The field app saves results on your phone when there is no signal and syncs them when you are back in range. Make sure results have synced before you uninstall the app, clear its data or change devices. We aim to keep the service available at all times, but there may be maintenance or outages, and we can’t promise it will always be uninterrupted or error-free.

11. Acceptable use

You must not:

  • break the law, or upload anything unlawful, harmful or that infringes someone else’s rights;
  • try to access another business’s data, or test, probe or overload the service;
  • copy, resell or reverse engineer the service, or use it to build a competing product;
  • share logins, or record false test results or certificates.

12. Our intellectual property

We own the Koalaris software, design, brand and content. While you subscribe, we give you a non-exclusive, non-transferable right to use the service for your business. If you send us feedback, we may use it to improve Koalaris.

13. Suspension and termination

We may suspend or close an account that seriously or repeatedly breaks these terms, puts the service or other customers at risk, or hasn’t paid. Where it is reasonable, we will warn you first and give you a chance to fix it. You can stop using the service at any time.

14. Australian Consumer Law

Nothing in these terms excludes, restricts or changes any right or remedy you have under the Australian Consumer Law or other laws that can’t be excluded. Where the law lets us limit our liability for failing to meet a consumer guarantee, our liability is limited, at our choice, to supplying the service again or paying the cost of having it supplied again.

15. Limits on our liability

To the extent the law allows:

  • the service is provided “as is”, and we do not promise it will suit every purpose;
  • we are not liable for indirect or consequential loss, including lost profit, revenue, data or business opportunity;
  • we are not liable for loss caused by your testing or servicing, the results or intervals you record, or relying on AI output you didn’t check;
  • our total liability to you in any 12-month period is limited to the fees you paid us in that period.

16. Indemnity

You agree to cover us for claims by third parties, including your clients, that arise from your work, the data you enter, or your breach of these terms, except to the extent we caused the loss.

17. Changes to these terms

We may update these terms. We will email customers at least 30 days before important changes take effect. If you keep using the service after that, the new terms apply. If you don’t agree, you can cancel before they take effect.

18. Governing law

These terms are governed by the laws of Queensland, Australia, and the courts of Queensland have jurisdiction.
